Job Summary: The Executive Assistant/Office Manager will oversee the daily operations of the office, ensuring a professional, organized, and efficient environment. This role involves providing executive administrative support to multiple executives and stakeholders on the Chromalloy senior leadership team, while also managing office supplies, equipment, and facilities. The Office Manager will serve as the front-facing representative of the company, ensuring a positive and professional image is presented to all visitors and external collaborators.
Roles and Responsibilities:
- Oversee office operations, including managing office supplies, equipment, and facilities.
- Ensure the office environment is professional, organized, and efficient.
- Implement and maintain office policies and procedures.
- Serve as the front-facing representative of the company, greeting visitors and ensuring a positive and professional image is presented.
- Support multiple senior executives, helping them to be more efficient and organized confidently and effectively.
- Proactively manage calendars with strong attention to detail, accuracy, and allocation of time to maximize productivity, recognizing and adjusting conflicting priorities as appropriate.
- Arrange complex travel plans, both domestic and international. Research and meet destination requirements, communicate with site personnel, create travel packets and agendas, confirm reservations, and monitor flights for issues.
- Attend specified meetings, record minutes, note actions, monitor, and assist in the completion of key deliverables.
- Represent the executives with confidence when dealing with internal and external collaborators.
- Act as the point of contact between staff and a gatekeeper of executive availability.
- Collaborate with a variety of functional departments and business units to meet business needs.
- Build and maintain relationships with a variety of key stakeholders.
- Other duties include scheduling meetings, processing expenses, maintaining records, coordinating on-site meetings, preparing shipments, and handling correspondence and presentations.
- Support our Board of Directors and Board of Advisors as required for quarterly and annual meetings.
- Attend community, marketing, and other industry events as required to ensure Chromalloy's presence in the business community and overall public.
Qualifications & Experience:
- Bachelor's degree or above preferred.
- 5+ years of progressive experience supporting C-Suite executives; experience in the aviation industry/aftermarket a plus.
- Proven experience in office management or administrative roles.
- Excellent proficiency with Office 365 applications.
- Willingness for some travel and to work off hours as needed.
