Job Title: Practice Coordinator
Location: Hilton Head Orthopedics

General Summary

The Practice Coordinator is responsible for overseeing all front office operations to ensure the delivery of efficient, high-quality care and service in a busy orthopedic clinic setting. This position plays a key role in coordinating daily administrative activities, supporting patient services, and facilitating communication between patients, providers, and staff.


Key Responsibilities

  • Uphold and support the mission, values, policies, and procedures of Novant Health.

  • Ensure compliance with HIPAA guidelines and maintain patient confidentiality at all times.

  • Actively support the Corporate Compliance Program by understanding and following the Code of Conduct, as well as relevant federal and state regulations.

  • Welcome and check in patients, verify insurance coverage, and collect accurate demographic information for entry into the electronic health record system.

  • Answer incoming calls, schedule appointments, and provide general administrative support.

  • Assist with patient check-out, including referrals, follow-up scheduling, and payment processing.

  • Collect co-pays, post patient charges, and reconcile daily transactions.

  • Manage physician schedules, coordinate business-related appointments, and handle routine administrative tasks.

  • Oversee daily front office operations including medical records management, appointment confirmations, supply ordering, insurance verification, and accounts payable.

  • Perform charge entry, monitor patient balances, and support billing follow-up.

  • Audit cash collections and ensure timely and accurate reconciliation of payments.

  • Take on additional responsibilities and projects as needed to support clinic efficiency and patient satisfaction.


Qualifications

Education:

  • High school diploma or GED required

  • Completion of a medical office assistant or administrative program preferred

Certification:

  • Certification in healthcare administration or practice management preferred

Experience:

  • Minimum of 5 years’ experience in a medical office or clinic setting, with demonstrated leadership and organizational skills
