Job Summary:
Under the direction of the Office Manager performs varied (and increasingly) responsible stenographic, typing and clerical duties. Performs legal secretarial work assisting professional legal staff, which requires individual judgment, initiative and specialized knowledge in carrying out established procedures, or applying laws or regulations

Essential Duties & Responsibilities:

-Transcribes from rough draft various pleadings including both criminal and civil, correspondence, memoranda, reports and other materials of a complex nature, including dictation involving legal brief preparation and deadlines associated with briefing. Composes and types letters from oral or written instructions.
-Independently compiles data and prepares various reports in compliance with departmental regulations and policies, State Statues and constitutional law.
-Keeps a calendar or record of appointments, meetings and other events pertaining to the department; makes appointments as instructed and issues reminders.
-Maintains a calendar of court hearings in District Attorney cases.
-Assists attorneys in meeting statutory and court deadlines.
-May take minutes at meetings if requested.
-Checks and reviews a variety of data for completion and conformance with established regulations and procedures.
-Maintain the confidentiality of departmental practices as applicable.
-Opens, sorts, dates, if necessary, distributes mail and perhaps articles for mailing.
-Performs receptionist and/or counter duties answering inquiries regarding departmental policies, regulations and services, or refers inquiries to proper official. Performs other duties as assigned.
-Makes contact with the Jail and makes a list of all new prisoners and reason in custody; distributes listing each morning.
-Types confidential juvenile documents and distributes as required by law.
-Set up court appearances with attorney and the court.
-Make copies of all Discovery Demands by the defense of items in files as approved by prosecuting attorney.
-Report to work during non-working hours for emergency situations when contacted by the District Attorney or Assistant District Attorney for search warrants or criminal complaints and arrest warrants.

Work Requirements:

-Associate degree in Paralegal or Administrative Assistant.
-Three (3) years office experience; experience in transcription, typing, computer – must be familiar with Microsoft Word, Microsoft Outlook and the Circuit Court Access Program. Knowledge of criminal, civil and juvenile court system.
