Position Overview

Foundation Building Materials (FBM) is currently seeking a motivated and detail-oriented Lease Specialist to join our team. The ideal candidate will have a strong interest in Leasing, excellent analytical skills, and a willingness to learn.

Key Responsibilities

  • Update data in Lease Harbor to reflect and account for branch relocations, acquisitions or consolidations, intermittent expense adjustments, lease amendments, or other projects and developments.
  • Audit Lease Harbor regularly to ensure that payment and accounting information are current per lease terms.
  • Monitor key dates for all leases (i.e. expiration dates, renewal option notice end dates, etc.) and notify Director of approaching dates.
  • Responsible for organizing and updating the department's computerized and physical files.
  • Coordinate with other FBM departments regarding lease obligations and implications.
  • Act as liaison for branch managers and landlords by facilitating communication and serving as a central point of contact to guarantee all issues be addressed.
  • Utilize Lease Harbor to produce monthly rent batch reports for Accounts Payable, quarterly accounting reports to Accounting, and other custom reports on an ad hoc basis.
  • Manage Real Estate Department's public email and ensure all inquiries are appropriately addressed with professionalism and superior customer service.
  • Address all urgent expense issues with vendors to ensure timely payment for any concerns that require special handling.
  • Thoroughly review property tax parcels/statements confirm accurate property assessments and compliance with payment deadlines.
  • Assist the move-in and move-out processes by handling security deposits in accordance with lease agreements and legal requirements.
  • Manually review individual lease records to reconcile account expenses on an annual basis.
  • Monitor income leases to assess subtenant compliance with lease terms and monthly
  • payments.
  • Start. stop and transfer utility services and maintenance contracts.
  • Incorporate/update rent vendors and entities by collaborating closely with accounts payable to streamline vendor onboarding processes, ensure accurate payment terms, and maintain up-to-date vendor records.
  • Advance the Paymode-X project by continuously performing outreach to vendors regarding electronic payments.
  • Draft landlord renewal notices and review estoppels to verify any current expense issues.

 

Requirements

  • Bachelor's Degree with relevant coursework real estate license or operations/facilities
  • Certificate, or 2+ years of professional office experience in a related field.
  • Experience with Lease Harbor (or other lease administration software).
  • A demonstrated knowledge and understanding of commercial lease concepts.
  • Excellent interpersonal, communication, organizational, analytical, and problem-solving skills.
  • Ability to effectively prioritize and time manage multiple projects.
  • Strong initiative and ability to work both independently and in team settings.
  • High proficiency in Microsoft Office Word, Excel, Outlook.

Compensation

  • Base: $26-$30/ Hourly
  • Bonus: 5%
  • Total Compensation (Base + Bonus): The successful candidate could reasonably expect a Total Compensation Package range of $54,080 to $63,402.
